TERMS, CONDITIONS + FAQ'S
ACCOMMODATIONS
Camping Is Included
Camping is included with every General Admission registration. No separate camping reservation is needed, and members are encouraged to group together within the shared camping space.
You’re welcome to bring a tent or camper that fits within the camping setup guidelines below.
Upon arrival, TLE staff will direct campers to available space within the designated shared camping area. Placement will be based on availability, group size, campsite capacity, equipment, vehicles, weather, safety, and other operational needs.
Good to Know:
- Bring a tent or camper.
- Shared camping area does not include electrical hookups.
- Community bath houses with (5) showers and restrooms are conveniently located near the camping area.
- ABSOLUTELY NOT ALLOWED: Fireworks, Firearms and ATVS.
- Alcohol is NOT permitted at the Retreat.
- Picnic tables and fire rings are provided throughout the shared camping area, so please leave them where they are. Help keep the fire rings clean by using them for fires only—not cans, bottles, or other trash.
GENERAL ADMISSION CAMPING TERMS
General Admission includes access to TLE’s designated shared, primitive camping area. Registration does not include or guarantee a private, individual, or exclusive campsite. Campers may share campsite space with other registered attendees and are encouraged to camp together with their crew.
TLE reserves the right to assign, combine, reconfigure, or relocate camping placements based on attendance, group size, campsite capacity, equipment and vehicle dimensions, weather, safety, venue requirements, and operational needs. Specific campsite locations, river views, proximity to amenities, and placement beside a requested group are not guaranteed.
Each shared campsite may accommodate one of the following setups: up to two tents and two vehicles, one RV, or one truck and one trailer. Additional vehicles must be parked in the designated overflow parking area.
Camping spaces do not include electricity. Generators are permitted but must comply with all posted safety, noise, and campground rules. Campers are responsible for bringing their own camping equipment and ensuring it fits safely within the space provided.
Camping conditions may be affected by rain, mud, river levels, and other weather-related circumstances. TLE may restrict access to certain areas or adjust camping placements when reasonably necessary for safety or venue operations.
Cabins & Treehouses
Cabins and Treehouses are optional upgraded accommodations and are available in limited quantities on a first-come, first-served basis.
Note: No smoking is permitted inside of the Primitive Cabins or Treehouses.
Only ONE person from your group should reserve the Cabin or Treehouse. This person will be considered the Group Captain.
How the Group Captain Process Works:
Step 1
The Group Captain purchases the Cabin or Treehouse upgrade. The reservation will be held for 72 hours while the entire group is finalized with the following steps.
Step 2
Immediately after purchase, the Group Captain will receive an email with a private booking link for the group.
Step 3
The Group Captain is responsible for forwarding/sharing that link with each roommate so they can purchase their spot. (Do not share this private link outside of your group!)
Step 4
Each roommate must purchase their own retreat registration using the private link provided by the Group Captain.
If all roommate spots are not filled within the hold period, the reserved accommodation may be released back into inventory.

TERMS + CONDITIONS
CANCELLATION, REFUND & DOWNGRADE POLICY
We understand that plans can change! Because TLE must reserve the property, lodging, vendors, merchandise, supplies, and event experiences well in advance, portions of each Retreat purchase become non-refundable over time.
This policy applies to all 2027 TLE Retreat registrations and applies equally to attendees who Pay in Full and attendees enrolled in the Payment Plan.
GENERAL REGISTRATION REFUND SCHEDULE
The first $497 of every Retreat registration is non-refundable, regardless of the registration type or payment option selected.
Beginning December 1, 2026, an additional $100 of the general registration becomes non-refundable each month.
| Cancellation Date | Non-Refundable Amount |
|---|---|
| Before December 1, 2026 | $497 |
| December 1–31, 2026 | $597 |
| January 1–31, 2027 | $697 |
| February 1–28, 2027 | $797 |
| March 1–31, 2027 | $897 |
| April 1–30, 2027 | $997 |
| May 1–31, 2027 | $1,097 |
| June 1–30, 2027 | $1,197 |
| Beginning July 1, 2027 | Full registration price paid |
The non-refundable general registration amount will never exceed the general registration portion included in your original purchase.
Beginning July 1, 2027, the general registration portion of every Retreat purchase is fully non-refundable.
HOW REFUNDS ARE CALCULATED
If you cancel before July 1, 2027, TLE will retain the non-refundable general registration amount shown in the monthly refund chart.
If applicable, any remaining amount you have paid will be refunded.
Treehouse and cabin cancellations:
Beginning April 1, cabin and treehouse selections are locked in. Attendees may move to general admission camping; however, the change will not automatically qualify for a refund or reduce the remaining Payment Plan balance. TLE will retain the locked lodging amount of $300 for a cabin or $500 for a treehouse. If TLE successfully fills the released lodging space with another paid attendee, the applicable locked lodging amount will be refunded. Any additional registration refund will be calculated separately according to the monthly refund schedule.
PAY IN FULL VS. PAYMENT PLAN
Pay-in-Full and Payment-Plan attendees follow the same non-refundable schedule. The amount TLE retains is based on the cancellation date—not the payment method selected.
| Payment Method | How the Refund Is Handled |
|---|---|
| Pay in Full | Any amount paid above the applicable non-refundable registration and lodging amounts will be refunded. |
| Treehouse and Cabin Payment Plan | Any amount paid above the applicable non-refundable registration and lodging amounts will be refunded. If cancellation occurs before July 1, all remaining scheduled payments will also be canceled. |
| General Admission Payment Plan | Because the General Admission Payment Plan follows the same monthly schedule as the non-refundable amounts, payments already processed will not be refunded. If cancellation occurs before July 1, all remaining scheduled payments will be canceled. |
A Pay-in-Full attendee may receive a larger refund because she paid more upfront. A Payment-Plan attendee may receive a smaller refund—or no immediate refund—because she has paid less upfront.
In both situations, TLE retains the same applicable non-refundable amount.
APRIL 1 LODGING AND DOWNGRADE DEADLINE
Cabins and treehouses are extremely limited and require TLE to make significant financial commitments well before the Retreat. The April 1 deadline gives TLE adequate time to offer released lodging space to another attendee.
DOWNGRADES THROUGH MARCH 31
Cabin and treehouse attendees may downgrade to general admission camping through March 31, 2027.
If you downgrade on or before March 31:
- You will remain registered to attend the Retreat with general admission camping accommodations.
- You will receive a refund for the applicable price difference between your original accommodation and the corresponding general admission option.
- Your refund will be based on the pricing and payment option selected at the time of your original purchase.
- If you are enrolled in the Payment Plan, your remaining $100 monthly payments will continue as originally scheduled.
If a Member of Your Lodging Group Downgrades
IF and ONLY IF a member of your cabin or treehouse group downgrades to general admission camping on or before March 31, there are TWO options for the remaining group members:
- Invite another registered Retreat attendee to fill the available spot. The new attendee must pay the applicable cabin or treehouse upgrade amount through TLE before being added to the lodging group.
- Keep the cabin or treehouse with fewer occupants. Your group is not required to fill the available spot, and TLE will not assign another attendee to your lodging group.
No additional refund, credit, or price adjustment will be provided for an unfilled spot. All replacements and lodging changes must be approved and processed through TLE. Cabin and treehouse spots may not be privately sold or transferred.
BEGINNING APRIL 1
Beginning April 1, 2027, cabin and treehouse selections are locked in.
At that time, the following lodging commitments become non-refundable:
| Accommodation | Locked Lodging Amount |
|---|---|
| Cabin | $300 |
| Treehouse | $500 |
Attendees may choose to move to general admission camping; however, no refund, credit, or reduction of the remaining Payment Plan balance will be provided for the accommodation price difference
CANCELING VS. DOWNGRADING AFTER APRIL 1
| Your Decision | Retreat Registration | Payment Plan | Locked Lodging Amount |
|---|---|---|---|
| Cancel Completely | Canceled according to the monthly refund schedule. | Remaining payments will be canceled if the cancellation occurs before July 1. | Retained unless TLE successfully fills the released lodging space. |
| Move to General Admission Camping | You will remain registered for the Retreat. | Your original payment schedule will continue. | Retained unless TLE successfully fills the released lodging space. |
RELEASED CABIN AND TREEHOUSE SPACE
If you cancel or move to general admission camping beginning April 1, TLE may release your cabin or treehouse space and make it available to another attendee.
TLE cannot guarantee that released lodging space will be filled and is not responsible for finding a replacement attendee.
If TLE successfully fills the released lodging space with another paid attendee, the applicable locked lodging amount will be refunded:
- Cabin: $300
- Treehouse: $500
The lodging refund will be processed after the replacement attendee’s reservation and payment are confirmed.
This refill exception applies only to the locked lodging amount. The non-refundable general registration amount will remain subject to the monthly refund schedule.
JULY 1 FINAL REGISTRATION DEADLINE
Beginning July 1, 2027, the general registration portion of every Retreat purchase is fully non-refundable.
After July 1, the only possible refund is the applicable $300 cabin or $500 treehouse lodging amount if TLE successfully fills lodging space released by a cancellation or downgrade.
FULL-REFUND EXCEPTIONS
TLE understands that certain unexpected life circumstances may make attending the Retreat impossible. In limited situations, an attendee may request an exception to the standard policy.
Circumstances that may qualify include:
- A pregnancy that occurred after registration when the attendee will be at least 25 weeks pregnant at the time of the Retreat.
- Giving birth to, adopting, or receiving placement of a newborn who will be less than 8 weeks old at the time of the Retreat, when the circumstance was not known or reasonably anticipated at purchase.
- Official military deployment orders issued after registration for the attendee, her spouse or domestic partner, or a member of her immediate household.
- An unexpected personal medical emergency or medical restriction that prevents the attendee from attending.
Supporting documentation may be required. Medical documentation only needs to confirm that attendance is not medically advised; a diagnosis or complete medical record is not required.
Exception requests are reviewed individually and are not guaranteed. If approved, all amounts paid directly to TLE will be refunded and remaining Payment Plan installments will be canceled.
CANCELLATIONS AND NO-SHOWS
This policy applies to all cancellations, including those related to personal circumstances, scheduling conflicts, illness, transportation, travel arrangements, or weather concerns, unless a full-refund exception is approved.
Attendees who do not attend and have not canceled or released their lodging space will not receive a refund or credit.
Contact TLE Support to cancel your registration or request a downgrade. Your eligibility will be based on the date you first contact TLE.
Approved refunds will be returned to the original payment method.
IF TLE CANCELS OR POSTPONES THE RETREAT
If TLE cancels the Retreat and does not provide a rescheduled event, attendees will receive a refund of the amounts paid directly to TLE.
TLE is not responsible for airfare, transportation, additional accommodations, or other third-party expenses.
If the Retreat is postponed, registrations will automatically transfer to the rescheduled date. TLE will communicate any additional options available.
FAQ's
Can I change my Cabin or Treehouse roommates later?
Yes! Your Group Captain can work with TLE Support to request roommate changes.
If a group member moves to general admission camping on or before March 31, your group may invite another registered attendee to fill the available spot and pay the applicable lodging upgrade.
What happens if my group doesn’t fill all of the Cabin or Treehouse spots?
Your Group Captain will have 72 hours after reserving the accommodation to finalize the group. If the group is not finalized within that window, the cabin or treehouse may be released back into inventory.
Once the group is finalized, TLE will not place additional attendees in your cabin or treehouse. If a group member later moves to camping on or before March 31, your group may invite another registered attendee to fill the spot or keep the accommodation with fewer occupants.
What if I decide I’d rather camp after booking a Cabin or Treehouse?
You may move to general admission camping and receive a refund for the applicable accommodation price difference through March 31, 2027.
Beginning April 1, cabin and treehouse selections are locked in. You may still choose to camp, but no refund, credit, or reduction of your remaining Payment Plan balance will be provided for the accommodation price difference.
Contact TLE Support to request the change.
Can I upgrade from camping to a Cabin or Treehouse later?
Yes, if accommodations are still available! Contact TLE Support to check availability. You will be responsible for paying the applicable cabin or treehouse upgrade amount before being added to the lodging group.
Are there showers or restrooms available?
A big YES! A community bath house with five showers and restrooms is located near the camping area. Porta restrooms will also be available throughout the campground for easy access.
If you’re staying in a Treehouse, you’ll have a private bathroom right inside your accommodation.
Can I use a different card for future Payment Plan payments?
Absolutely! Just submit a TLE Support ticket before your next scheduled payment, and we’ll be happy to update your payment method.
What happens if my payment doesn’t go through?
Our Support Team will contact you to update your payment information. After three failed payment attempts or 30 days of non-payment, your registration may be forfeited.
Does every General Admission registration include a private campsite?
No. General Admission includes access to the shared camping area, but an individual or private campsite is not reserved for each attendee. TLE will coordinate camping placements based on availability, group size, campsite capacity, equipment, vehicles, and safety considerations.
Can I camp with my friends?
Absolutely! Members are encouraged to camp together with their crew in our shared camping area. Each shared campsite can accommodate up to two tents and two vehicles, one RV, or one truck and one trailer.
Can I plug in my camper?
At this time, there are no electrical hookups available for campers.
Do I need to bring my own bedding?
Treehouses include bedding for your stay. If you’re camping or staying in a Cabin, please bring your own bedding.
Will TLE accommodate dietary restrictions?
We will do our best! When selecting food vendors, we aim to provide options that are gluten-free friendly, dairy-free, and vegetarian.
Food may be prepared in shared kitchens, so we cannot guarantee a dedicated gluten-free or allergen-free environment or prevent cross-contact.
Please share your dietary needs during registration. If you have a severe food allergy or medically required diet, we recommend contacting TLE Support before the Retreat and bringing supplemental food if needed.
